Answer these Scenarios: Q13. Your name is Dorota and you have just started work as a sales rep for Office Electronics. You have been with the company for six weeks now and this is your first job out of school. Office Electronics is a small family owned company providing a range of electrical goods through various distributors. You have a small head office with nine other staff members. The office has a variety of office computer workstations, a fax machine, photocopier and printer. The entrance to the office kitchen is next to where the printer, fax and photocopier are located. It is not really a wide area, but you notice all the staff use it as a social area when they are getting tea and coffee. Often you see staff place their cups of coffee on the printer or copier when they are talking. Spills do occur, and with wooden floorboards, it can get quite slippery at times. The layout of the office means that the computer power cords lie on the desk near the laptop computers. These are then plugged straight into extension cords. As part of your job, you sit at your desk for long periods entering data and making calls. You are finding that you are fidgeting in your seat more that normal, something that has been commented on by Zoran your co-worker. Lately you have found yourself going home with headaches and a stiff neck. Also, you find it hard to find a chair in the office you can comfortably use, given your above average height. As you are only new at work you are not sure who to raise your safety concerns with, or how they will respond. Michelle the Office Manager seems friendly, but she is also extremely sales and cost focussed, so youre just not sure. Q13 a) List 5 safety problems you can identify 1. 2. 3. 4. 5. Q13 b) If you worked in that environment what steps would you take to minimise the risks Q13 c) What process do you recommend to be taken to implement a system at that workplace for identifying and reporting hazards to their supervisor? Q14. Your name is Amit. You have just started work for G.I Read and Co. It is a middle sized firm dedicated to selling childrens books. Your job role is as a general assistant, which means that you are a bit of a jack of all trades. You carry out the following duties: Mail Room sorting, delivery and despatch of mail Relief Reception answering the phone etc while the main receptionist is on breaks IT Department help set up machines and to fetch / carry for them General Duties little jobs set daily by your supervisor Normally you have a very busy day, with a number of jobs keeping you moving around the company. At various times, you have been asked to carry around computers that the technicians have been working on. Carrying computers can be risky; you remember last week when you tripped over some of the old computer cords on the floor. Luckily you werent hurt as Anup (who was working on an open computer) caught you just in time. The company is located in an old two-storey building; it has two sets of stairs near the front of the building. You, however, prefer to use the fire stairs at the back of the building. These stairs connect the mailroom on the ground floor and the IT Department on the first floor. Using the stairs saves you having to walk all the way to the front of the building. You have noticed that other staff members have used parts of these stairs as a storage area. While it can be a tight squeeze, you can still get IT equipment and parcels past the storage boxes. To make life easier, you have even used one of the boxes to prop the doors open. As you were going up the fire stairs on Wednesday you met Leonie the office safety representative walking down. She said hello and then told you confidentially... We shouldnt really be using these stairs at all, she then continued walking. After she had left, you remembered that you should have asked her about fire drills and other safety matters. You remember parts of her ten minute talk on your first day about safety, but it really didnt sink in. Yesterday you overheard a conversation between Anup and Jaye. They were talking about the fact that they had never had a fire drill in the entire time they had worked here. In fact even though it will soon be three months that you have worked for G I Read, and apart from that initial ten minute talk, you dont recall anyone talking to you about safety at all. Q14 a) If this was you, what steps can you take to learn about the safety hazards and safety procedures at that workplace? Q14 b) What steps can you take to encourage other staff to be more safety conscious? Q14 c) What advice would you give to the safety rep to make people more focussed on safety matters? Q14 d) What housekeeping rules would you put into place to prevent safety problems and also improve storage systems, and prevent equipment damage? Refer to the College Report Writing Guide for assistance with structuring your report. Attach your report as Q30. Assessment Task Part H Safety Management Plan Q31. Complete the Following Case Study OR develop a real Safety Plan for your Workplace following the same guidelines. Note that there can be significant benefits from developing the Plan for your own workplace, but the choice to do the Case Study is yours! The Plan would typically be at least 6 pages in length, but in many cases longer. Note if you have already completed this Question as part of your Business Planning module you do NOT need to answer this question simply remind us that you completed this Question in the Business Planning module. If you have not yet done your Business Planning Module successful completion of this Question will exempt you from the Business Planning Project question. Case Study (Non-financial Operational Plan on Safety) You have been appointed the Team Leader at XYZ Company. Your manager has asked that the first thing you do is to fix the safety problems that have crept in around the place. Your first observations are that there are many issues that need actioning; and they all cant get done at once. Therefore your manager agrees that a good strategy would be for you to develop a Plan covering the next 12 months that identifies and lists all of the things you are going to have to action to address the safety issues you find. Attached is a summary of the safety problems you identified when you conducted a Risk Assessment and Safety Audit of the workplace. Part (i) In your Plan you need to Identify which issues need to get actioned first (and explain why). While you may be tempted to action each of the items solely based on their Risk Assessment be mindful that some items may help prevent future problems and some items might take a long time and so you may need to start early to get it all done in the 12 months. For each issue develop an action list of what steps need to be done to fix the problem. This will help you determine how long that issue will take for you to fix. For each action list item determine what staff and equipment requirements there are to action that issue. Cost these requirements so that you have clearly identified how much it will cost to put in the changes necessary IMPORTANT NOTE: You do not have to put in place these safety items you simply need to develop a Plan showing how you would! Once you have completed this stage go on with Part (ii). While you may be tempted to action each of the items solely based on their Risk Assessment be mindful that some items may help prevent future problems and some items might take a long time and so you may need to start early to get it all done in the 12 months. Start this step by drawing up a list of ALL the things you need to do based on the Risk Assessment and Audit (and any other Safety Matters You Feel Need to Be Added). Then prioritise them start with High Medium and Low priorities For each issue develop an action list of what steps need to be done to fix the problem. This will help you determine how long that issue will take for you to fix. Then look at the High Priorities and for each one create a step by step list of what needs to happen, by who, and how long it will take to do. Make sure the steps are in order eg StepWho Has to DoTime To DoElapsed TimeImplement Safety Policy1. Get permission from CEO to draft oneMe1 hr over2 days2. Build these into your plan. Eg how you will record and measure accidents and near misses and then review the results; or how you will assess if staff are following new safety procedures Identify the range of situations that might occur that stop the effective implementation of your Plan. These may be internal weaknesses or outside threats. These may be issues such as lack of funds to implement safety plans; staff apathy at safety; or busy periods in the business that will limit time that people can spend implementing parts of the plan. Identify how you will respond to overcome three of the problems you have identified in f) above ie what is your contingency plan Eg What communication and training and supervision will be put in place to ensure safety procedures are being followed; or how you can achieve the plan with minimal expense. Identify the people issues that will impact on whether your Plan is successful or not. Detail how you will address these issues before they become problems Eg How to ensure staffing is adequate on days you want to run safety training; how to get staff involved in the safety committee Please mail this Assessment Task to: Australian College of Commerce and Management Locked Bag 8804, Wollongong NSW 2500 FILENAME Safety Assessment Tasks Diploma v10-06.doc Australian College of Commerce and Management PAGE 1 Australian College of Commerce and Management Page PAGE 5 of NUMPAGES 29 FILENAME Safety Assessment Tasks Cert III v10-06.doc Australian College of Commerce and Management FILENAME Safety Assessment Tasks Diploma v10-06.doc Page PAGE 15 of NUMPAGES 29 #?@ABK[\] * + = ?
