The following is a comprehensive list of our services for the management of the Common Property.
SECRETARIAL SERVICE
- We maintain the Roll, where all Owner details are kept.
- Deal with inward and outward correspondence.
- Maintain and care for the books and records of your Body Corporate.
- Distribute Notice of Meetings with an Agenda, Financial Statement and Proxy Forms for members who are unable to attend Meetings in person.
- Convene and assist the Presiding Officer in chairing of meetings.
- Distribute minutes and instigate actions from meetings in a timely manner.
FINANCIAL MANAGEMENT
- Distribute account notice for maintenance contributions and special levies.
- Financial Statements are provided to all Corporation Members on request and at the end of each Financial year.
- An Annual Budget of projected expenditure is prepared for Membersm discussion and approval at each Annual General Meeting. This assists in establishing the amount of Levy required to successfully manage the affairs of the Corporation.
- Pay all your Body Corporate accounts and other outgoings from the Trust Account.
- The books remain the property of the Corporation and are available for viewing during normal business hours.
- Our Trust Account is reconciled weekly and audited annually.
- Arrange annual tax returns through an independent chartered accountant.
- Prepare quarterly BAS statements as required.
- We monitor unpaid Levies and if necessary initiate legal action on behalf of the Corporation to recover unpaid amounts.
INSURANCE
- We assist the Corporation to fulfil the Insurance requirements as set out in the Act.
- We are Authorised Representatives of CHU Underwriting Agencies. This means we can offer competitive insurance cover for your Body Corporate, pay premiums and lodge claims for prompt processing in accordance with FSRA.
- The Corporations’s Insurance is reviewed annually for compliance with the Act.
COMMON PROPERTY MAINTENANCE
- We provide an emergency service 24 hours a day 7 days a week for urgent works.
- We engage preferred Contractors from our files or from those selected by the Corporation. Quotes are obtained and submitted to the Corporation for approval before significant works are undertaken.
- We arrange periodical maintenance in accordance with General Meetings requests.
